A clearer handoff of payroll inputs

A shared approach to deadlines, responsibilities and change logs.

Payroll input handoff should end with an acknowledgement: the receiving team knows which file it has, which period it covers and which changes it has accepted. An email attachment alone does not establish any of these.

Use this guide to agree an interface between HR, sites and payroll. The field names and deadlines are internal design choices. They do not define a Kuwait statutory submission format or payment timetable.

Agree the data contract

Define the unit of each row. For example, one row may represent one approved change for one employee and one effective date. Do not mix a monthly total, an individual attendance event and a pay-change instruction in the same quantity column.

FieldWhat to agree
Employee identifierThe authoritative register and treatment of leading zeroes
Payroll periodThe company’s period identifier, kept separate from effective date
Change typeControlled list with an owner for each type
Value and unitAmount, hours or another defined unit; currency where relevant
Approval referenceA retrievable approved record, not just a person’s name
Change identifierA stable value used to prevent duplicate processing
Status and reasonAccepted, rejected, pending or superseded, with an explanation

Keep bank changes and sensitive supporting documents out of broad circulation. Share a controlled evidence reference where the payroll reviewer is authorized to inspect it.

Validate before sending

Check required fields, identifier matches, permitted change types, units and dates. Look for duplicate change identifiers within the batch and against previously accepted batches. Confirm how reversals and corrections are represented; a negative number should not have several possible meanings.

Have a named input owner confirm completeness for their area. Record the file version, row count and appropriate control totals. If different currencies or units appear, keep their totals separate; adding them into one number provides a misleading check.

Make receipt and acceptance different events

A batch marked “received” has reached payroll. A batch marked “accepted” has passed the receiving team’s validation. Return rejections with the change identifier and the reason, and distinguish a whole-file failure from specific rejected rows.

For example, a branch sends thirty approved changes. Payroll accepts twenty-eight and returns two with missing effective dates. The acknowledgement shows both counts and identifies the two rows. The branch corrects those records rather than resending thirty new changes that might duplicate the accepted ones.

Use a correction that points to the original

An illustrative batch label is PAY-2026-10-R02. A corrected row should reference the earlier change and say whether it replaces, cancels or supplements it. Preserve the original acceptance decision and the new decision.

Agree when a late request requires additional review, who can authorize reopening a run and how the employee is informed. If the request raises a contractual or legal question, obtain the relevant review before treating it as an approved calculation instruction. “Urgent” is not an approval category.

Close the loop after calculation

Return a reconciliation showing which accepted changes were processed, deferred or rejected at calculation. Investigate differences between the accepted input and the payroll result. Then archive the final handoff package under controlled access, with an owner and the company’s approved retention treatment.

Before considering the exchange complete, confirm that both teams can answer:

  • Which version and period did we use?
  • Which changes were accepted once, and which remain unresolved?
  • Where is the supporting approval?
  • How is a correction linked to its earlier instruction?
  • Who owns the remaining action and communication?

Use attendance exception handling to improve one important input stream, payroll close to define the release gate and variance review to confirm the resulting changes.
